farmez is a New Zealand agricultural technology platform providing cold storage management, logistics coordination, and farm operations intelligence. This privacy policy covers all farmez products and services, including the farmez platform, customer portal, and communications via WhatsApp and email.

2. What information we collect
We collect the following categories of personal information:
- Identity information: name, business name, role
- Contact information: email address, phone number, WhatsApp number
- Business information: GST number, company registration, payment terms, invoice details
- Storage records: bin counts, loading and collection dates, commodity types, room locations
- Communication records: WhatsApp messages and email exchanges related to your storage operations
- Account information: login credentials, session data, access timestamps

We collect information:
- Directly from you when you or your business is onboarded to the platform
- Through your use of the farmez portal or mobile application
- Via WhatsApp messages sent to our operations number
- Through our automated agent (Koru) during field operations and logistics coordination
- From our platform when storage operations are recorded by warehouse staff
4. How we use your information
We use your personal information to:
- Manage and administer your cold storage account
- Generate and send invoices for storage and handling services
- Coordinate pickups, deliveries, and logistics via WhatsApp and email
- Provide access to the farmez customer portal
- Send operational alerts and notifications relevant to your storage
- Comply with our legal and accounting obligations
- Improve our platform and services
We do not sell your personal information to third parties. We do not use your information for unsolicited marketing without your consent.
5. WhatsApp communications
farmez uses WhatsApp to communicate with customers, drivers, and logistics partners as part of our operational workflow. By providing your WhatsApp number and communicating with us via WhatsApp, you consent to receiving operational messages including storage updates, pickup confirmations, and invoice notifications.
Our WhatsApp integration is operated via the WhatsApp Business Platform. Messages are processed by our intelligent agent (Koru) and, where necessary, reviewed by our team. WhatsApp message content may be stored as part of our operational records.
6. Where we store your information
Your data is stored in a secure cloud database hosted on Neon (PostgreSQL), with servers located in the AWS ap-southeast-2 region (Sydney, Australia). Our platform is hosted on Vercel infrastructure. All data in transit is encrypted using TLS. All data at rest is encrypted by the hosting provider.
7. How long we keep your information
We retain your personal information for as long as you hold an active account with us, and for a minimum of 7 years after your last storage transaction to meet our legal obligations under New Zealand tax and business record-keeping requirements. After this period, personal information will be deleted or anonymised.
8. Your rights
Under the New Zealand Privacy Act 2020, you have the right to:
- Request access to the personal information we hold about you
- Request correction of any information that is inaccurate or incomplete
- Ask us to delete your information (subject to our legal retention obligations)
- Withdraw consent for communications at any time
- Lodge a complaint with the Office of the Privacy Commissioner if you believe we have breached the Privacy Act

9. Third-party services
We use the following third-party services in delivering the farmez platform:
- Google OAuth — for secure sign-in (Google Privacy Policy applies)
- Resend — for transactional email delivery
- WhatsApp Business Platform (Meta) — for operational messaging
- Neon — for database hosting
- Vercel — for platform hosting and deployment
Each provider operates under their own privacy policy and data processing agreements. We only share the minimum personal information necessary for each service to function.
10. Changes to this policy
We may update this privacy policy from time to time. The updated version will be posted on this page with a revised date. For significant changes, we will notify active users by email.
